Purpose -To develop a consistent 04A closure process for cases that interfaced incorrectly into ATLAS

1.

Case manager reviews and identifies 04A closure on Intake, Paternity and Establishment for CAI and FAI program

  1. DCSS receives the Interface error case from AZTEC and IV-E to ATLAS, see below
  2. TPEP

  4. GRANT DIVERSION
  5. TRIBAL TANF
  6. DATA MISMATCH
  7. CP & CHILD CODED INCORRECTLY
  8. SNAP ERROR COMPLIANCE NOT REQUIRED

  10. IV-E PATERNITY NOT ESTABLISHED

Case manager documents Case on CAAL screen in ATLAS

  1. The case manager documents the case with M9813 “Case should be closed” indicating the reason for the 04 closure request.
  2. In addition, if closure is for the reason that the custodial parent is receiving social security benefits ( SSI) the case manager shall enter the CAAL code PI050

Case manager sends email to the designated regional liaison

  1. The case manager sends an email to the designated Regional Liaison and enters into the subject line: 04A Closure Request and (ATLAS No) to the following:
  2. East Valley: Sherrilynn Henderson (Chandler) and Nathan Wasmundt (Mesa)
  3. North Valley: Emily Cantelme (Intake), Aida Munoz (P&E)
  4. South Valley: Elizabeth Mangis (SVO), Theresa Wixon (Avondale)
  5. SBOS:
  6. Cheryl Shetterly: Pima County
  7. Dean Coates: Graham, Greenlee, Gila, Cochise, and Santa Cruz
  8. NBOS:
  9. Kim Baker, Coconino, Apache, Navajo, Mohave, La Paz, Yavapai
  10. Bertha Castro, Pinal and Yuma

4.

Regional liaison receives the email from the case manager

  1. The regional liaison receives the email from the case manager and reviews for the appropriate CAAL codes to close the case.
  2. Check PI050 for accuracy if reviewing for SSI closure (Social Security Income).
  3. Check M9813 for accuracy

5.

Regional liaison reviews and makes the determination when the 04A closure is incorrect

  1. The regional liaison determines that the request is incorrect.
  2. Respond to the original email request to inform the case manager that the request was rejected and if appropriate enter the M9814, Case should not be closed. It should also be reviewed further for correction. See step 1 for re-submitting the request.

Regional liaison makes a determination that the 04A closure is correct

  1. The regional liaison makes the determination that the request is correct and enters the correct M CAAL Code. See codes below:
  2. M9040 TPEP
  3. M9041 Child and CP same HLCI
  4. M9042 Grant Diversion
  5. M9045 Tribal TANF
  6. M9046 IV-A DATA MISMATCH
  7. M9047 CP AND CHILD CODED INCORRECTLY
  8. M9048 SNAP ERROR
  9. M9049 CP ON SSI
  10. M9051 IV-E PATERNITY NOT ESTABLISHED
  11. M9052 IV-E PATERNITY NOT VERIFIABLE
  12. M9053 IV-E CASE SET UP IN ERROR

7.

Regional liaison closes case

  1. The regional liaison will close the case on CAST Screen
  2. On the CAST Screen,
  3. In the Closure Date: Reas: Enter 04A

8.

Regional liaison responds to case manager email

  1. Regional liaison will respond to the original email request to inform the case manager that the request is approved .

9.

Case manager sends email to FAA

  1. The case manager will email AZTEC at FAAPOLDCSE, with the closure reason and copy the regional liaison. (If an email to FAA hasn’t been previously completed)
